Greetings,

The messages that came in today that were of a more personal nature, but
sent to all the participants of the CLICK4HP listserv, are not common
occurences on this listserv. But they can be embarrassing to the senders,
and unwelcome additions to the list.  As one of the list-facilitators, I've
just looked back over the past 6 months of postings, and have found few
personal exchanges, although a number of 'out-of-office-replies'.  In both
cases, the messages were not likely 'intentional', and the best way to
prevent them from happening is for everyone to remember some simple
guidelines when preparing to reply to a message sent through a listserv, or
when using 'out-of-office' features.

The CLICK4HP health promotion listserv is not 'moderated'. That is, postings
sent to the list address go directly out to all 1225 subscribers, without
being 'held for approval' by one of the listowners.  Rather than impose a
level of control on the list by moderating (and a lot of work on the 2
people who manage the list), we have left the list open, and hope that
self-management, shared facilitation, and following a few suggestions or
guidelines on posting, will all help ensure a lively and active exchange.

                          *Replying to Messages*

When replying to a posting, quote only the text required to put your reply
in context.
It helps to cut-and-paste quotes into new messages.
Try to edit out needless lines in replies and forwarded material.
If you have to scroll down a whole screen to get to where your response
begins you have probably quoted too much.

Before you hit REPLY be sure to check the TO: line. You may not want your
private message read by the whole list.
Personal messages to the whole list often happen because, when you receive a
message from CLICK4HP list, and the sender is someone that you know, it may
appear that clicking on 'Reply' will go directly to the sender whose name
appears in the From line.  *Beware* - the CLICK4HP address is actually what
you will see if you reply - the original sender's address is hidden.

If you do not know the e-mail address of the person you wish to reach, you
can review the list of subscribers to the list by sending an e-mail message
to the list-server <[log in to unmask]>, leaving the subject line *blank*,
and in the message body type in Review CLICK4HP. A list of current
non-concealed subscribers will be sent to you soon after you send that
message.

You should not repost private email to the list without permission.


          *Identify Yourself*

Please sign your messages at the end with your name and email address. Some
email software fails to capture the sender's name from the header, making it
impossible to follow up, off the list, by email.


                 * Do Not Use Attachments*

Please - do NOT send attachments to this listserv or to any other.  As
attachments create difficulties for many subscribers, in downloading time,
potential for viruses in attachments, incompatibility of word-processing
systems and blocks by many IT systems on attachments, it is now the policy
of the CLICK4HP listserv to **block all attachments**.
Take the time to copy and paste the text from attachments into the body of
messages. Your messages will go further and be distributed, and it will be
appreciated!

           *Keeping your Messages Readable*

Keep messages short - two or three screens of information - and 'point' to
sources of further information (yourself, web pages, etc.). Click4HP
listserv now has a limitation of 250 lines (which is 10 screens at least!)

Use 'white space' in your message to improve readability.
Use lists and line breaks to space out the information and improve
readability online.


     * Prevent Out-of-Office-Replies Going to the list *
The CLICK4HP listserver is set to 'filter' out many out-of-office reply
messages from getting through to the list. But there are email systems that
still get around these filters.
If you are going on holiday or going to be away for any length of time,
please consider changing your subscription to disable message delivery
temporarily (while remaining a member).
Send a message to the LISTSERVER - not to the list at the address
[log in to unmask]
Leave the subject line blank
In the body of the message type in
SET CLICK4HP NOMAIL

To start receiving email messages from the list after returning, send your
message to the listserver, and in the body of the message type in
SET CLICK4HP MAIL


            *Minimum Standards of Respect and Personal Conduct*

Demonstrate respect for the ideas of others in your replies even if you do
not agree. Debate and discussion are welcome and encouraged. Do not send
email when angry or upset.

When attempting humour or sarcasm always clearly indicate this with the use
of an emoticon such as :-) or ;-) commonly referred to as smilies.
