Programming Changes to the ARCHEION Network

The ARCHEION programmer has recently added some advanced features the
network. Those of you currently submitting descriptions to ARCHEION should
take advantage of the added Draft and Tracking Report features now available
to you. The Draft feature allows you to store an unfinished description
while you may be searching for a missing date or a component of an
Administrative Sketch, for example, and to return to the file at a later
time to complete the RAD compliant description. While the Draft feature is
an improvement to the previous method involving the storage of working
descriptions in MS Word or Word Perfect format until which time one was
ready to cut and paste into relevant fields on the ARCHEION template, the
added Tracking feature allows institutions to view a report of all
descriptions sent to ARCHEION in both HTML and text or Excel formats.

You may observe these new features by accessing the ARCHEION section from
the AAO web site, then by clicking "ARCHEION Template" and punching in your
username and password just you proceed when about to enter a new
description. Once you are ready to save a working version of a new
description, click the button, "Save Description as Draft" located at the
bottom of the page. You may call up the Draft description at a later time
to complete it by searching for the title of the description when prompted.

You now also have the option to click "View Tracking Report" and "Download
Report" via the "ARCHEION Template" link. The former option produces a
report in HTML format while the latter may be downloaded as a compressed
text file through Winzip and opened as a text or Excel file. The Tracking
Report allows institutions to identify the status and location of
descriptions, whether they are Online, in Draft format, Awaiting Review by
the Data Collection Archivist, or Rejected/Withdrawn due to RAD-compliancy
issues preventing the submitted description from inclusion on the network at
that time.

We would like to encourage you to take advantage of these new features and
keep them in mind as you continue to make use of ARCHEION.
