Dear Colleagues:

Many of us in the health field wear a number of hats out of necessity. So
the following message might be of interest to you.

RESPONSE REQUESTED ASAP!!!!!!!!!!

The HEALTH ARCHIVISTS INTEREST GROUP (HAIG) is planning its annual

"Spring Chat" (colloquium)

for March 30th, 2001

at the Bloorview MacMillan Center in Toronto.

The success of this year's event relies upon attendee participation, so we
ask you to respond as soon as possible with your intentions to attend and
the record group you wish to discuss.
If you do not feel able to make a presentation, we hope you will still
attend and participate in question periods and group work.

The topic: STANDARDIZATION OF RECORD RETENTION/DISPOSITION  of corporate
records.

The topic will be explored through member presentations and group work.

The time:   10:00 - 16:00

The location:   Bloorview MacMillan Center - C-Ward Solarium

Format: 1. Introduction - a brief presentation  on the issues of
standardization with a closer look at the ongoing development of records
retention guideline by the Ontario Hospital Association.
2. Presentations by attendees - brief (5-10 minutes) individual
presentations by members on the records retention/disposition of a specific
record group within his/her institution. Including a mention of the
archive/institution mandate.
3. Lunch on your own - there is a cafeteria on site. Refreshments will be
available during presentations.
4. Presentations by attendees.
5. Group discussions and summarization - working in smaller groups,
attendees will discuss the presentation, compare solutions to common
problems and voice future plans.

YOUR PARTICIPATION IS REQUIRED!!!!!!

We are asking for participation of those who are able to attend.
Your presentation would consist of brief discussion of your institution,
including mandate, a 5 minute presentation of a specific record group ( or
specific records) and  a short question-and-answer period.
In discussing your chosen record(s) , we ask for a brief description of the
type of records, the retention and final disposition and the policy (written
or implied) and/or justification for the action taken.

For example: "Mary Dickson" works at the "Sunshine Hospital". She is
responsible for the management of the Library and the Archive/Corporate
Records Management.
Mary has a mandate to retain all records pertinent to the Hospital's
functioning and history.

For her presentation, Mary can select a generic record (e.g. payroll
journal, donation receipt, employee applications, credentialling records,
MOH statements, property deeds etc.)  or she can select records that are
more specific to her organization.
At the "CHAT", Mary would describe her chosen record(s) and her action
associated with it and reasons for retention/disposition of these said
records.

Overheads, slides, computer presentations or handouts may accompany your
presentation, to facilitate better understanding. However, these aids are
not required.

Directions to Bloorview:
from the intersection of Bayview/Eglinton, drive east to Rumsey Rd ( a few
blocks).
At Rumsey Rd, turn North. Bloorview is at the end of this street.
Parking is available at the front or side of the building. Parking fee is
$4.00 (half of that of Sunnybrook)

By TTC: from Yonge/Eglinton station, take any eastbound bus to Rumsey Rd.
Walk north on Rumsey to the end of the street. (about 5 blocks)
