Permanent Full-time Position

Regional Municipality of Waterloo
Technician, Information Management and Archives
Description:  Assists the Coordinator, Information Management & Archives
(IM&A) with developing, maintaining, and delivering the Region’s IM&A
Program, with primary responsibility for record inventories, implementing
and monitoring the Information Classification System (ICS) and Information
Retention and Disposal Schedule (IR&DS), and delivering related training.
Provides back-up to the Electronic Document Analyst in training the
Region-wide EDMS (Electronic Document Management System).

Duties:
Assists in the development and maintenance of the Regional Publication
Depository Program (RPDP) and electronic cataloguing and activity tracking
databases
Conducts New Employee Training and workshops for the Region’s EDMS,
Hummingbird’s PowerDocs, on an as-needed basis
Assists in the analysis of the recorded information flow and holdings of
various departments
Assists in the implementation of the ICS for paper and electronic records
on a project basis
Assists in the maintenance of the ICS Manual and IR&DS and in the design of
training material
Monitors the lifecycle status of records stored offsite
Reviews and approves requests to dispose of inactive records held in
Regional offices.
Assists in the coordination of activities associated with the destruction
or transfer of records to the Regional Archives
Assists with the periodic review and formal audits of recorded information
management practices
Provides recorded information management expertise, technical advice, and
assistance

Qualifications or requirements:  Knowledge of recorded information
management systems and procedures, information technology and archival
theories and practices, normally acquired through the attainment of a
Records/Information Management Technician, Archival Studies, or Library
Technician Diploma or professional equivalent, plus two years related
experience.  Must possess strong training skills in order to deliver
comprehensive sessions for both records management functions and the EDMS.
Basic understanding of the contents of various government records, and
departmental functions and work processes which they support, in order to
assist in the determination of appropriate classification and relevant
values for retention and disposal.  Analytical skills sufficient to conduct
recorded information inventories and analyze the nature of information
content.  Human relations and organizational skills to assist in the
organization and coordination of information management work of Regional
staff; train staff in information management practices; work effectively
with staff in a variety of Regional offices; respond to requests; and
participate as an effective team member.  Skill in the operation of a
computer; working knowledge of Word, Excel, specialized electronic document
management and records management software; and experience with general
databases, such as Access.  Ability to read and synthesize information in
professional and government information management publications and
reports.  Ability to write reports regarding recorded information
management and project implementation.  Ability to elicit information from
staff concerning their needs and record handling practices; explain/clarify
information management requirements and resolve related issues to assist
staff to understand and develop effective techniques for managing
information and access requests.  Ability to travel to various locations
within the Region.  Ability to support and project values compatible with
the organization.

Salary and benefits:  Salary range for this position is :  $37,018.80 -
$42,078.40 per annum
