Coordinator, Information Management and Archives

Description

This position coordinates the Region’s corporate-wide Information
Management Program, with primary responsibility for developing,
implementing and monitoring documents at the active, storage/maintenance
and inactive stages, throughout the organization.

Duties

§     Researches, develops, implements and monitors the standard document
classification system, associated         retention and schedule, training
programs as well as providing related advisory services
§     Supervises records centre storage activities, retrieval and disposal
services
§     Designs the process and coordinates the completion of inventories and
the analysis of the recorded information  flow and holdings of various
departments
§     Monitors the lifecycle status of records stored offsite
§     Conducts periodic review and formal audits of recorded information
management practices in Regional          departments
§     Supervises the development and maintenance of electronic databases to
support and monitor off-site record             centre transfer history
§     Assists with the design and development of approval and processing
standards and activities associated with the    management of inactive
records
§     Coordinates the design, development and maintenance of the electronic
cataloguing and tracking databases for    the Regional Publication
Depository Program
§     Provides back-up support for the Archivist and in the archives
§     Explains/clarifies information management requirements and resolves
issues to assist staff to understand and  develop effective techniques for
managing information
§     Makes formal and informal presentations, including training to staff
regarding recorded information management       programs, initiatives and
issues

Qualifications and Requirements

Knowledge of recorded information management systems and procedures,
information technology, archives, library practices, normally acquired
through the attainment of an Information Management, Archival Studies or
Library Technician Diploma, plus related significant experience, including
project management.  Human relations and organizational skills to organize
and coordinate the work of supervised staff; advise and train staff in
specific work methods or procedures; work effectively with staff in a
variety of Regional offices to coordinate information management project
implementation activities; participate as an effective team member; and
respond to numerous requests with diplomacy and tact.  Skill in the
operation of a computer, working knowledge of Microsoft Office, specialized
electronic document management and records management software and
experience with general databases, such as Microsoft Access.

Salary and Benefits

Salary range for this position is $40,075 - $50,095 per annum
