For those conerned, the following letter has been mailed to all AAO
institutional members in good standing:

Dear Institutional Member:

As you are an Institutional Member in good standing of the Archives
Association of Ontario (AAO), you are eligible to apply for grants under
the terms of the Control of Holdings Cost Shared Cooperative Assistance
Program and the Preservation Management Cost Shared Cooperative Assistance
Program.  These grants are made available through the Canadian Council of
Archives (CCA). The competition for these programs is administered by the
Institutional Development Committee of the AAO.

In order to reduce our mailing costs, a general mailing of grant
applications will not take place.  Applications will be made available
from the AAO Office beginning 9 November 1998.  To obtain an application

Upon request a grant package will be mailed to you.  Each package will
include:

        1. Control of Holdings Cost Shared Cooperative Assistance Program
guide to Applicants.  Application form is included in guide.

        2. Preservation Management Cost Shared Cooperative Assistance
Program Guide to Applicants.  Application form is included in guide.

        3. Supplement to Control of Holdings and Preservation Management
Guides to Applicants.  The supplement outlines the AAO requirements and
highlights some CCA requirements.

Applications for the Professional Development and Training Program and the
Special Projects Program which are funded under the Control of Holdings
Program and applications for the Preservation Training and Information
Program which is part of the CPCAR funding program are available upon
request.  French language copies of the grant applications are also
available on request.

To enter the competition submit TEN copies of your completed application
(the original and 9 photocopies) no later than 5:00pm,  Monday, 4 January
1999.  Grant applications may be sent by mail or courier, or hand
delivered to:

        Please note that with respect to Control of Holdings grants, the
Institutional Development Committee, with AAO Board approval, has limited
the total amount of direct funding with CCA funds to $4000.00 per
application.  In addition, 70% of the funds allocated to Ontario in the
1999/2000 funding year for the Control of Holdings programme will be
directed to support the Archives Union List project.  This will enable us
to develop our union list in conjunction with other provinces, which are
embarking upon similar projects to realize the Canadian Archives
Information Network Millennium project.  While available funds for control
of holdings grants will be reduced this year to support the AULO project,
AAO members will continue to benefit from the advice and assistance of the
Archives Advisor programme, as well as the assistance of the AULO Network
Coordinator, Loren Fantin,  in preparing RAD descriptions for Ontario's
Archives Union List.
