About Us

St. Michael's College School was founded in 1852 by the Basilian Fathers,
and stands as Ontario's only independent Catholic high school for young men.
The school offers students in Grades 7-12 an enriched, Catholic, Liberal
Arts education complemented by a number of diverse co-curricular programmes.
As a community within the Catholic Church, St. Michael's strives for
excellence through a synthesis of culture and faith.

The motto of the Basilian Fathers and St. Michael's College School is "Teach
me Goodness, Discipline, and Knowledge" (Psalm 118). This recognizes that

as important as the knowledge acquired through formal education. The motto

The Role: 

The Archivist is responsible for controlling, recording, preserving, and
managing access to the school archives for the purpose of advancing the
school's mission and vision by collecting and preserving the school's
history and traditions. The Archivist will perform basic archival
responsibilities and work closely with staff, faculty, and external
constituents to build, manage and promote the archives collection.

Status:                                  Part time, permanent position (2
days per week) 

 

Compensation:                     Under review

External Contacts:             Alumni, visitors, donors, researchers, media 

 

 

Responsibilities include: 

*	Develop knowledge of current archives collection and work with the
Director of Communications to determine archival requirements
*	Work in partnership with the Communications and Advancement
departments to assist in contacting the School community to fulfill archival
requirements
*	Undertake the administration of archiving services to determine the
suitability for archival retention and ensure compliance with sponsor
requirements for data and sample archiving
*	Creation, implementation, and management of the production,
distribution, and version control of documents in compliance with the
applicable written procedures, and ensure that document procedures are being
adhered to by team members
*	Recommend actions and strategies in order to improve the management
of controlled documents and archived data
*	Create, implement, and manage an ongoing process to respond to
inquiries from the internal and external community
*	Educate the SMCS community on using Eloquent database, available
through the SMCS website
*	Create displays of relevant items for specific school events (e.g.
Alumni events, Graduation, Order of St. Michael, Open Houses, etc.) to raise
awareness and promote the archives collection
*	Maintain and update the SMCS Museum in consultation with the
Director of Communications
*	Work with staff and faculty in developing and implementing special
archival displays related to specific projects and events
*	Manage the annual review of the archives collection, policies, and
procedures 
*	Investigate new technologies and assess their potential impact and
role for the preservation, accessibility, and management of the archives
collection
*	Other duties as required

 

Qualifications, Abilities, and Experience:

*	Diploma in Library Technology or a related discipline from a
recognized post-secondary institution
*	University degree or College diploma in an appropriate field
*	Minimum 2-3 years' experience working in an Archives role
*	Excellent research skills
*	Excellent working knowledge of MS Office365
*	A knowledge of manual or electronic document control systems
*	Excellent communication skills both verbal and written
*	General understanding of computerized cataloging systems
*	Accuracy and attention to detail while working under tight deadlines
*	Excellent interpersonal and customer service skills
*	Strong ability to work effectively as part of a team and
independently
*	Ability to follow through and complete overlapping projects
*	Strong organizational, time management, and prioritizing skills
*	Strong problem identification and problem resolution skills
*	High level of critical and logical thinking, analysis, and/or
reasoning to identify underlying principles, reasons, or facts

 

 

*	Ability to interpret and implement school policies and procedures
*	Effective communication skills with individuals at all levels of the
organization

 

Working Conditions: 

*	School setting, office setting
*	Intermittent physical activity including lifting, bending, sitting
and standing
*	Overtime as required, with prior approval of Director of
Communications

*	An understanding and commitment to the delivery of a Catholic,
liberal arts education, to boys in Grades 7-12.
